Terms & Conditions
General Booking Terms
1. Definitions
- “NVSB” / “NEXTRIP” — Nextrip Vacations Sdn Bhd and its authorised agents.
- “Tour Member” / “Traveller” — Any person who purchases or is named in a booking confirmed by NVSB.
- “Tour Price” — The total package price as quoted and confirmed in writing.
- “Supplier” — Airlines, hotels, ground operators, cruise lines, and other third-party service providers engaged by NVSB.
- “Departure Date” — The date of air travel begins, subjected to Standard Departure Date (STD) provided by Airlines. For tours inclusive of flight ticket, Departure Date means Tour Start Date as well.
- ”Return Date” — The date of arrival for your return flight, subjected to Estimated Time of Arrival (ETA) provided by Airlines.
- ”Travel Date” — Date range from the first day of travel until the end. It is presented as date pairing.
- ”Duration” — Number of days and nights of a tour. Calculated from Tour Start Date until Tour End Date. No of night is counted based on ground accommodation stay and excludes nights spent in flight.
- “Tour Start Date” — The first day of tour.
- ”Tour End Date” — The last day of the tour.
- “PTD” — Prior to Departure or Prior to Tour Start Date
- “Force Majeure” — Any event beyond NVSB’s reasonable control (see Clause 5).
2. Standard Pricing Convention & Price Representation
2.1 Default Price Basis
Unless explicitly stated otherwise, all prices displayed or quoted by NVSB — whether on the website, booking platform, proposals, or verbal quotations — are to be interpreted as follows:

The displayed or advertised price represents the lowest available fare tier at the time of publication, inclusive of items specified under the relevant product category. It does not constitute a guaranteed price until a booking is confirmed and deposit is received.
Detailed inclusions, exclusions, surcharges, and category-specific pricing rules are governed by the applicable Product Terms (Layer 2).
2.2 Price Validity & Changes
- All prices are quoted in Malaysian Ringgit (MYR) unless otherwise stated.
- Prices are subject to change without prior notice due to fluctuations in airline fares, fuel surcharges, currency exchange rates, government-imposed taxes or levies, and supplier pricing.
- A price is only confirmed and locked upon NVSB’s issuance of a written Booking Confirmation and receipt of the required deposit.
- NVSB reserves the right to revise a quoted price prior to booking confirmation if costs have changed materially, with notification to the customer.
2.3 What the Displayed Price Typically Includes
The displayed price for tour products generally includes items as described in the product listing (e.g. flights, accommodation, meals, transfers, and sightseeing as specified). It does not include items listed under “Package Excludes” in the relevant product description.
Refer to the applicable Product Terms (Layer 2) for the full inclusions and exclusions specific to each product category.
2.4 Pricing for Non-Standard Occupancy & Traveller Categories
The following are not included in the default displayed price and are available upon request:
- Single Supplement — applicable when a Tour Member travels alone and cannot be paired for twin sharing
- Child Fare/Rate — applicable for children within the age range specified per product; rates vary by occupancy type (with or without extra bed)
- Triple Room Reduction — applicable where a third adult shares a room; reduction amount varies by hotel and product
- Infant Fare/Rate — applicable for children below 2 years of age; covers air component and applicable taxes only
Specific rates and conditions for each of the above are governed by the applicable Product Terms (Chapter 2) and confirmed in the Transaction Terms (Chapter 3).
2.5 Promotional & Advertising Materials
Prices featured in promotional materials — including but not limited to printed flyers, brochures, digital advertisements, social media posts, email campaigns, and travel fair collateral — are subject to the following:
- Prices are indicative only and represent the lowest available fare at the time of material production or publication.
- Promotional prices are valid while seats or allocations last and are subject to availability at the time of enquiry or booking.
- NVSB shall not be bound to honour a promotional price that is no longer available due to seat or inventory depletion, fare expiry, or changes in supplier costs after the material’s publication date.
- Where a promotional price includes a limited-time offer, early bird rate, or travel fair exclusive, the specific validity period and conditions will be stated in the material itself or communicated at the point of enquiry.
- In the event of any discrepancy between a price stated in promotional materials and the price available at the time of booking, the current available price confirmed in writing by NVSB shall prevail.
- NVSB reserves the right to withdraw, amend, or extend any promotional offer at any time without prior notice.
Note: If you have seen a price in a flyer, advertisement, or social media post and wish to book at that price, please present the material to our team at the point of enquiry. NVSB will make reasonable efforts to honour valid promotional pricing, subject to availability.
3. Contractual Basis
The purchase or booking of any travel product from NVSB constitutes a contractual agreement between the Tour Member and NVSB. The Tour Member warrants that they are authorised to accept these Terms on behalf of all passengers named in the booking. NVSB acts as an agent for Suppliers and is not the principal provider of transport, accommodation, or other third-party services.
4. Traveller Responsibilities
4.1 Travel Documents
Tour Members are solely responsible for holding a valid International Passport with a minimum validity of 6 months from the date of return. NVSB shall not be held liable for any loss, delay, or expense arising from invalid, missing, or refused travel documents.
4.2 Visa Obligations
Tour Members are encouraged to process their own visa unless visa fees are explicitly included in the Tour Price. NVSB shall not be liable for any loss of passport, visa rejection, or delayed approval by foreign missions.
4.3 Regulatory Clearance
Tour Members are responsible for ensuring they are cleared of blacklisting by any Regulatory Body, including Inland Revenue, Banks, and Insolvency Department, which may restrict travel abroad. NVSB will not be responsible for any refund, change, or deferment of travel resulting from such restrictions.
4.4 Health & Fitness
Tour Members confirm they are medically fit to travel. Any condition that may affect participation must be disclosed to NVSB at the time of booking.
4.5 Conduct
Tour Members whose conduct is deemed unreasonable, unsafe, or detrimental to fellow travellers or tour operations may be removed from the tour at the Tour Manager’s sole discretion. NVSB will not refund any unused portion of the tour resulting from such dismissal.
5. Travel Insurance
NVSB strongly advises all Tour Members to purchase travel insurance for the duration of their tour. Insurance is mandatory as advised by the Malaysian Travel & Tour Association (MATTA). Tour Members who already hold coverage or refuse to purchase insurance must sign a disclaimer indemnifying NVSB for any financial losses arising during travel. This disclaimer must be completed prior to departure.
6. Force Majeure
NVSB shall not be held liable for cancellation, delay, amendment, or any loss arising from events beyond its reasonable control, including but not limited to:
- Acts of God or natural disasters
- War, civil unrest, riot, or strike
- Pandemic, epidemic, or public health emergency
- Acts or directives of government or regulatory authorities
- Airline or Supplier operational disruptions
In such events, NVSB will make reasonable efforts to offer alternative arrangements or refunds subject to Supplier recovery policies.
7. Limitation of Liability
NVSB and its associated agents act only as agents for Suppliers. NVSB shall not be held liable for any personal injury, loss, damage, delay, or additional expense arising from:
- Inaccuracy, mis-description, or changes to tours and itineraries
- Delays, changes, or cancellations in transport services
- Sickness, weather, strikes, war, quarantine, or other causes
- Damage, loss of baggage, or personal effects
- Deportation or refusal of entry by Immigration due to possession of unlawful items or improper travel documents
Tour Members are responsible for claiming losses from their respective insurance providers.
8. Intellectual Property & Marketing Materials
During any NEXTRIP tour, NVSB may capture photos, videos, and recordings for marketing purposes including website, booklets, social media, and electronic media. Tour Members hereby consent to the use of such materials. Tour Members who wish to opt out must notify NVSB in writing prior to departure.
9. Governing Law & Dispute Resolution
These Terms are governed by the laws of Malaysia. Any disputes shall first be referred to NVSB’s Customer Services Department for resolution. Where unresolved, disputes shall be subject to the jurisdiction of Malaysian courts.
10. Language
In the event of any inconsistency between the English and Malay versions of these Terms, the English version shall prevail.
11. Versioning & Acceptance
These Master Terms are versioned. The version applicable to any booking is the version in force at the time of booking confirmation. Tour Members confirm acceptance by signing the Acknowledgement in the Booking Confirmation.

Transaction Terms
Each Booking issued by NVSB will specify the following as applicable to that booking:
1. Payment Terms & Schedule
- Deposit Amount and Deposit Payment Deadline (if applicable). No booking is confirmed until we receive the payment.
- Total Booking Amount and Full Payment Deadline.
- Failure to pay by the stipulated Full Payment deadline imposed by NVSB constitutes grounds for cancellation per the applicable Product Terms.
- Deposits & Full Payments are non-refundable unless cancelled in accordance with the cancellation schedule and period stated in the relevant Product Module.
2. Confirmed vs. Tentative Components
The Booking Document will distinguish between confirmed and tentative booking components (e.g. hotels, flights, activities). Tentative components remain subject to availability and supplier confirmation and will be updated accordingly in the Booking upon confirmation from respective suppliers.
3. Supplier-Specific Restrictions
Any supplier-specific restrictions (e.g. non-refundable hotel, specific airline fare rules, cruise cancellation windows) will be stated explicitly in the Booking Confirmation.
4. Amendment Fees
Amendment fees applicable to changes requested after booking confirmation will be stated in the Booking Confirmation and are subject to Supplier policies.
5. Booking Validity
The booking is valid for the travel dates stated in the Booking Confirmation only. Changes to travel dates are subject to availability and amendment fees.
6. Room Occupancy Terms
Specific occupancy arrangements (single, twin, triple, child with/without extra bed) as agreed at the time of booking are stated in the Booking Confirmation.
7. Event-Specific Deadlines
For bookings involving specific events (e.g. concerts, sporting events, religious pilgrimages), any event-specific deadlines and non-negotiable cut-off dates will be stated in the Booking Confirmation.
Product Terms
Category-specific operational rules. These terms, as stated in the Booking Confirmation document issued by NVSB, override General Terms and Booking Terms where specific conditions differ.
1. Series Departures
Applies to all Series Departure products offered by NVSB.
1.1 Tour Price Inclusions
All Tour Price includes:
- Return Flight Air Ticket in Economy Class (non-refundable and non-reroutable) to and from Kuala Lumpur International Airport (KUL) inclusive of Airport Taxes, Fuel Surcharges, and relevant government-imposed charges unless stated otherwise
- Accommodation on twin/double share basis unless otherwise specified.
- Meals and sightseeing as specified in the Tour Program.
- Other ancillaries and fees as specified in the itinerary.
1.2 Tour Price Exclusions
The Tour Price excludes:
- Items listed under the “Package Does Not Include” section of each product.
- Charges governed by the Terms and Conditions of respective authorities or suppliers.
- Personal expenses, gratuities, and optional activities unless
- Increase of cost due to changes beyond typical foreign exchange rate (FOREX) fluctuations.
1.3 Accommodation
- Accommodation is based on half twin share for adults as default unless double, single or triple occupancy is requested. Triple occupancy is subject to availability.
- Child fare is based on either with or without extra bed, as agreed with the hotel.
- Child fare applies for children aged 2–11 years from departure date, sharing a twin/double room as a third person. NVSB will notify Tour Members through general publication or the Tour Program if child fare conditions differ by country.
- A child sharing a room with another adult in a twin/double room will be charged using adult twin rate.
- A child below 2 years at the point of flight departure is classified as an infant; the infant’s fare covers the air component and applicable taxes only.
- Single Supplement applies for Tour Members travelling alone in a group when pairing with other Tour Members is not possible. Where NVSB is unable to pair the Tour Member, cancellation charges per Clause 7 apply.
- Where a hotel is named in the tour program, NVSB will endeavor to use it but reserves the right to substitute an equivalent hotel for unavailability or security reasons, without liability for the change.
1.4 Minimum Group Size
- Group and Series Tours typically require a minimum of 20 passengers to operate.
- NVSB reserves the right to cancel or merge groups if minimum pax is not met, subject to advance notice and options for alternative arrangements or refunds.
1.5 Flight Timing & On-Time Performance
- Flight timings and schedules are not guaranteed and do not form part of the contract. All flight schedules are subject to change or cancellation by airlines or regulatory bodies.
- NVSB shall not be held liable for any cancellation or additional charges resulting from changes or cancellations to the flight schedule by the airline or regulatory body.
1.6 Request for Extension / Deviation
- Requests for extension or deviation from the original flight plan or travel date are subject to Airline Ticket Restrictions, Terms & Conditions, and applicable charges or additional fares.
- Such requests must be made and agreed prior to tour booking confirmation.
- If deposits have already been paid and the tour booking is cancelled due to NVSB’s inability to arrange the extension or deviation, the Cancellation Policy per Module A, Clause A7 applies.
- Any extension or deviation is at the Tour Member’s sole risk. NVSB shall not be responsible for any inconvenience or additional cost incurred.
1.7 Cancellation, Cancellation Fees & Refunds

Notice of cancellation must be made in writing or by email to avoid miscommunication. The date on which written notice is received by NVSB is the basis for calculating penalty charges.

- Where refund is eligible, the processing period by NVSB will be within 60 days from the date of the refund request.
- All deposits and full payments are non-refundable beyond the Cancellation Period except in cases of: (i) Death, (ii) Hospitalisation, or (iii) Medical conditions — accompanied by a Letter from Hospital (letters from GP are not accepted). Approval is subject to NVSB and relevant suppliers, and the refund amount may differ from the Tour Price paid.
Cancellation by NVSB
NVSB reserves the right to cancel a Group or Series Tour due to:
- Force Majeure events (Clause 5 of Master Terms)
- Failure to meet minimum group size (20 pax)
- Official travel restriction notices issued by Wisma Putra / Malaysian Ministry of Foreign Affairs
Upon cancellation by NVSB, Tour Members will be offered an alternate destination or refund. Where an alternate option is not accepted, NVSB will process a refund of the Tour Price paid within 60 days.
Where cancellation is requested by Tour Member for Force Majeure reasons not covered by official travel restriction notices, NVSB reserves the right to approve or reject such requests, and the quantum of refund may not equal the amount paid.
The decision by NVSB shall be final and conclusive.
1.8 Booking Fees During Events & Campaigns
- NVSB may participate in travel events (e.g. MATTA Fair) and campaigns by organised by NVSB or its affiliates.
- A non-refundable booking fee will be collected at and during these events and campaigns and will be specified.
- The booking fee amount will be deducted from the deposit payable.
2. Custom & Bespoke Leisure
Applies to tailor-made and bespoke tours.
- A separate non-refundable planning fee applies for custom itinerary research and proposal preparation, as specified in the proposal document.
- Revisions to confirmed itineraries are subject to a revision fee and subject to supplier availability.
- Booking deposit is partially refundable subject to supplier cancellation policies, as specified in the Transaction Terms of the confirmed booking.
3. Umrah & Hajj
Applies to all Umrah and Hajj packages.
- All Umrah and Hajj packages are subject to compliance with Tabung Haji, MOTAC, and relevant Saudi Arabian religious authority regulations.
- NVSB is not responsible for changes to pilgrimage procedures, quota allocations, or restrictions imposed by Saudi authorities.
- Wisma Putra travel advisories specific to the Kingdom of Saudi Arabia apply.
- Visa processing for Umrah is subject to the discretion of the Saudi Arabian Embassy. NVSB shall not be liable for visa rejection or delays.
4. Corporate Travel & MICE
Applies to corporate bookings, incentive travel, meetings, and events.
- Payment terms and procurement structures are governed by the corporate agreement or purchase order in place between NVSB and the corporate client.
- NVSB’s standard cancellation terms apply unless superseded by a signed corporate agreement.
- Group minimum pax rules may be waived subject to negotiated corporate contract terms.
5. Visa Services
- NVSB assists with visa application submission as an intermediary service only.
- Visa approval is at the sole discretion of the respective foreign embassy or consulate. NVSB shall not be liable for rejection, delays, or additional requirements imposed.
- Visa fees paid to embassies are non-refundable regardless of the outcome.
6. Flight-Only & Air Ticketing
- All air ticket purchases are subject to the fare rules of the issuing airline, which govern refundability, rerouting, and amendment fees.
- NVSB shall not be held liable for any additional charges, schedule changes, or cancellations imposed by the airline or regulatory body.
- Full payment is required at the time of booking for all air ticket purchases.
